Job Summary
We are seeking a highly organized and detail-oriented Legal Secretary to provide dedicated support to the Chairman of a full-service law firm located in the Loop. The Chairman advises on a wide range of legal and business matters, and this role is critical to ensuring the efficient day-to-day operation of his practice.
The ideal candidate will have 5–7 years of legal administrative experience, preferably supporting attorneys in a corporate or transactional practice, and will be comfortable managing competing priorities in a fast-paced law firm environment. This individual must exercise sound judgment, discretion, and professionalism at all times.
Key Responsibilities
Legal & Executive Support

Manage the Chairman’s calendar, schedule meetings, and coordinate appointments.

Coordinate domestic and occasional international travel, including detailed itineraries.
Communication Management

Handle incoming and outgoing communications, including email, phone calls, and correspondence.

Draft, revise, and proofread legal and business documents, presentations, and reports.
Meeting & Practice Coordination

Organize meetings, prepare agendas, assemble materials, and track follow-up items.

Liaise with attorneys, clients, and internal departments on behalf of the Chairman.
Billing & Time Entry

Support accurate and timely time entry and billing processes.

Familiarity with law firm billing systems and workflows is preferred.
Confidentiality & Professional Judgment

Maintain strict confidentiality regarding firm, client, and executive matters.
Administrative & Project Support

Assist with special projects, ensuring deadlines and priorities are met.

Manage expense reports and coordinate administrative needs related to the Chairman’s practice.
Event & Firm Support

Assist with planning meetings, client events, and firm functions as needed.
Qualifications
Experience
-
5–7 years of legal administrative experience, preferably in a law firm.

Prior support of a senior partner, practice chair, or executive preferred.

Corporate or transactional practice experience is ideal.
Education

Bachelor’s degree preferred but not required.
Skills

Strong organizational, multitasking, and time-management abilities.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint).

Additional Requirements

Availability to work overtime as needed, including occasional early mornings or evenings, to support business demands.
Compensation & Benefits

Salary range: $70,000–$85,000, commensurate with experience.
