Executive Legal Assistant

A sophisticated private client law firm focusing on tax, trusts and estates, cross-border planning, and related dispute resolution is seeking an experienced, polished, and highly organized Executive Legal Assistant to provide comprehensive support to a senior partner. This is a fully in-office position offering a consistent weekday schedule, excellent benefits, and the opportunity to work in a professional and collaborative environment.

Schedule: Monday through Friday, 8:30 a.m.–4:30 p.m.
Salary: $75,000–$85,000, depending on experience

Responsibilities

  • Provide high-level administrative and legal support to a senior partner.
  • Manage a busy calendar, schedule meetings, and coordinate appointments and conference calls.
  • Arrange domestic and international travel, including transportation, lodging, itineraries, and related logistics.
  • Prepare, revise, proofread, and format correspondence, reports, presentations, and legal documents.
  • Draft routine correspondence and communicate professionally with clients and other outside contacts.
  • Manage incoming calls, emails, mail, and other correspondence.
  • Maintain organized electronic and physical files.
  • Assist with new-client intake, conflict-check procedures, and the opening and closing of matters.
  • Enter and edit attorney time and assist with billing-related matters.
  • Prepare and submit expense reports and reimbursement requests.
  • Track deadlines, follow up on outstanding matters, and help ensure the partner’s priorities are handled efficiently.
  • Coordinate meetings, including reserving conference rooms, preparing materials, and arranging refreshments when needed.
  • Provide occasional administrative support to the office and assist with special projects.

Qualifications

  • Prior experience supporting a partner, senior executive, or other high-level professional is strongly preferred.
  • Previous law firm or professional-services experience is preferred.
  • Exceptional organizational skills and the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Excellent proofreading skills and meticulous attention to detail.
  • Professional demeanor and the ability to interact confidently with clients, attorneys, and staff.
  • Sound judgment and the ability to handle sensitive and confidential information with discretion.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work independently, anticipate needs, and take initiative.
  • Dependable, flexible, and comfortable working in a fully in-office environment.
