Executive Legal Assistant
A sophisticated private client law firm focusing on tax, trusts and estates, cross-border planning, and related dispute resolution is seeking an experienced, polished, and highly organized Executive Legal Assistant to provide comprehensive support to a senior partner. This is a fully in-office position offering a consistent weekday schedule, excellent benefits, and the opportunity to work in a professional and collaborative environment.
Schedule: Monday through Friday, 8:30 a.m.–4:30 p.m.
Salary: $75,000–$85,000, depending on experience

Responsibilities
- Provide high-level administrative and legal support to a senior partner.
- Manage a busy calendar, schedule meetings, and coordinate appointments and conference calls.
- Arrange domestic and international travel, including transportation, lodging, itineraries, and related logistics.
- Prepare, revise, proofread, and format correspondence, reports, presentations, and legal documents.
- Draft routine correspondence and communicate professionally with clients and other outside contacts.
- Manage incoming calls, emails, mail, and other correspondence.
- Maintain organized electronic and physical files.
- Assist with new-client intake, conflict-check procedures, and the opening and closing of matters.
- Enter and edit attorney time and assist with billing-related matters.
- Prepare and submit expense reports and reimbursement requests.
- Track deadlines, follow up on outstanding matters, and help ensure the partner’s priorities are handled efficiently.
- Coordinate meetings, including reserving conference rooms, preparing materials, and arranging refreshments when needed.
- Provide occasional administrative support to the office and assist with special projects.
Qualifications
- Prior experience supporting a partner, senior executive, or other high-level professional is strongly preferred.
- Previous law firm or professional-services experience is preferred.
- Exceptional organizational skills and the ability to manage competing priorities.
- Strong written and verbal communication skills.
- Excellent proofreading skills and meticulous attention to detail.
- Professional demeanor and the ability to interact confidently with clients, attorneys, and staff.
- Sound judgment and the ability to handle sensitive and confidential information with discretion.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to work independently, anticipate needs, and take initiative.
- Dependable, flexible, and comfortable working in a fully in-office environment.
